Description
We are a leading detox and mental health treatment center dedicated to providing compassionate care and life-changing recovery services. We are seeking a detail-oriented executive assistant to provide direct support to our executive team at the corporate office and help ensure smooth daily operations within our growing facility.
Working hours: 9:00 AM to 5:00 PM
Duties
Must speak English
-Coordinate and manage executive calendars, meetings, and appointments to ensure efficient scheduling and effective time management.
-Prepare correspondence, reports, and presentations for executive review.
-Handle confidential information with professionalism and discretion.
-Manage expense reports, travel arrangements, and reimbursements.
-Act as the primary point of contact between executives, staff, clients, and external professionals.
-Draft, review, and manage professional correspondence on behalf of executives.
-Assist with strategic projects, research, and data collection for decision-making.
-Maintain project timelines and follow up on action items with relevant stakeholders.
-Oversee filing systems, document management, and ensure smooth office operations.
-Serve as the primary liaison for clients, families, and referral sources during the admissions process.
-Conduct pre-admission screenings to determine clinical appropriateness.
-Coordinate with clinical and medical teams to review eligibility and appropriateness for IOP admission.
-Coordinate and assist with transportation needs for admits.
-Schedule assessments, intakes, and program admissions in collaboration with clinical staff.
-Maintain accurate and timely documentation in the Electronic Health Record (EHR).
-Verify insurance eligibility and benefits, obtain authorizations, and explain coverage and financial responsibilities to clients.
-Track referrals, admissions, discharges, and other metrics for reporting and compliance.
-Manage professional correspondence on behalf of leadership.
-Maintain confidentiality of sensitive internal operations and client data.
Experience
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); Google Workspace a plus.
Ability to manage multiple tasks, prioritize, and maintain professionalism under pressure.
